Privacy and the Free Rate Scan
This page explains what the scan collects, why VareYa uses it and how you can ask for access, correction or deletion.

Who handles your information
VareYa B.V., Bagven Park 6, 4838 EH Breda, the Netherlands, handles information submitted through the Free Rate Scan. Privacy questions can be sent to sales@vareya.com or discussed by telephone on +31 (0)76 3030540.
What the scan collects
The form asks for your company, name, work email, optional telephone number and website, business location and practical information about orders, SKUs, markets, fulfilment, returns, sales platform and your main operational challenge. The application also stores the result, submission time, scan-processing consent and whether you separately opted in to contact.
For spam protection, the application converts the connection address into a one-way hash and keeps recent submission times for roughly one hour. The hosting provider may separately process standard server logs for security and operation.
Why VareYa uses it
- to calculate and show your operational fit result;
- to store the request in the authenticated VareYa lead dashboard;
- to understand your stated fulfilment situation before following up;
- to protect the public form against automated abuse.
Processing needed to calculate and store the requested scan uses the required scan consent shown beside the submit button. Email or telephone follow-up happens only when you select the separate optional contact checkbox. The anti-abuse check supports the security and availability of the service.
Who can access it
Access is limited to authorised VareYa team members and service providers needed to host, secure or maintain the form and dashboard. VareYa does not sell Free Rate Scan details.
How long it is kept
Scan-only records are deleted or anonymised within 12 months of submission. Information may be kept longer when it becomes part of a quote or customer relationship, or when a legal obligation requires this.
Your choices and rights
You can withdraw consent and ask VareYa for access, correction, deletion, restriction, objection or a portable copy where the applicable rules provide those rights. Contact sales@vareya.com and identify the company or email used in the scan. You can also contact the Dutch Data Protection Authority.
What the result means
The result is a planning indication based only on the answers submitted. It is not a price quote, performance promise or guarantee of savings. Product, inbound, customs, tax, order, return and adviser requirements still need to be checked for the actual operation.
